Receiving the package

When a package arrives, open the RMA and use the Receive action (requires rma:receive). You record the overall package condition (intact, damaged packaging, damaged contents), the receiving warehouse, and per item: the received quantity and the condition received — new, used, damaged, missing, or unknown.

Receiving moves the RMA from Open to Received and stamps the received-at time on the return leg. Only active warehouses are offered — they're managed under Settings → Locations.

Inspecting the items

Start inspection from the detail page (requires rma:inspect); the RMA moves to Inspection. For each item you record:

  • an outcome reason — why it actually came back, which may differ from the reason given at intake;
  • a disposition — Restock, Refurbish, Return to vendor, Scrap, Recycle, Quarantine, or Repair;
  • inspection notes, labour hours, and an optional restocking fee.

Warranty status (in or out of warranty) is snapshotted from the product's warranty window and can be overridden per item where the facts on the bench say otherwise.

Photos

Photos can be attached to items during both receive and inspection to document damage — they live on the item, show on the detail page, and make disputes with customers and vendors short.

Completing — and the RMA that never arrives

Completing inspection stamps the inspection-completed time and readies the RMA for Completed. Items dispositioned Restock flow into inventory where the module is enabled — see Stock and movements.

If the customer never ships: the RMA stays Open and becomes overdue after the return-due date. Overdue RMAs are highlighted everywhere, and reminder rules can chase the customer automatically.
