Overview

When a purchase is worth shopping around, run it through sourcing before converting to a PO: create an RFQ from the lines you need, send it to a shortlist of suppliers, and capture each supplier's quote against the same lines so the comparison is apples to apples.

Quotes and their charges

A quote records each line's unit price and the charges that decide the real cost — freight, tax, duty — at line level. That's deliberate: the cheapest unit price with the most expensive freight is a common trap, and the quote's landed view keeps it visible. Quoted charges also become the yardstick later, when the supplier's invoice arrives (see invoice matching).

The sourcing decision

The award is recorded as an explicit sourcing decision — which supplier won, for which lines, and why. The decision links the winning quote to the purchase order raised from it, so months later "why did we buy from them at that price" has a one-click answer.
